Users may now process credit card deposits and apply payments against service calls while in the field.
This option is only available with the FLEX license or full USER license.
**Note** This option only supports same currency processing. No foreign exchange is currently supported.
Prerequisites:
- Credit Card API configured for the company entity number linked to the call under Maintenance > API Maintenance
- Perms: CreditCard (Exec). Create and View permissions are also now available for FLEX license users
- Company or Company Number linked to the call must have a customer deposit account and a credit card clearing account set up. Set up the new Customer Deposit Account at Accounting > Admin > Company Setup > Liability > Customer Deposits Account
- Service Call > Extended Menu > Credit Card Deposit. An “Enter a Value” window will open. This will be pre-populated with the bill amount for this call, but may be changed if necessary
- Enter desired value and click “Ok”
- In the confirmation window that opens, select “Existing” to use an existing on-file card, or “New Card” to add a new credit card
- To add a new card, in the Add Credit Card window that opens, select a Card Type, Company No, Contact, and enter the Card Number, Name on Card, Expiration Date and CVV number. Checking the Save Credit Card flag will save the credit card for future use (visibility of this checkbox is based on CreditCard Create permission). To confirm, on Customer record, click the Credit Cards button. The newly saved credit card will appear in the grid
- To use an existing (pre-saved) credit card, a Credit Cards window will appear (visibility of saved credit cards is based on CreditCard View permission). Highlight desired credit card in the grid and click the Submit Payment button
- Click Submit Payment
- On the Call form, open the Profit tab. Click on the Credit Card Deposits hyperlink. A Deposits window will open. This grid will display all credit card deposits. Drilling into any line will open the associated GL Journal Entry in a separate window (both debit and credit)
- Click the refresh button while on the Profit tab to see the deposit/s applied to the Credit Card Deposits field
- Click on the Call tab and then the EDIT button
- Enter a Solution and Description
- Click the SAVE button
- On the Extended Menu, select Mark Call Complete. A confirmation window will open. Confirm by clicking the “Yes” button
- Again, on the Extended Menu, select Bill This Service Call. A confirmation window will open (including the invoice number). Confirm by clicking the “Yes” button. An invoice will be created and will open in a new window
- From the Extended Menu of the Invoice, select Post Invoice. The AR Journal tab of the invoice will now reflect the applied deposits. The Ref No. is the credit card reference number that links back to the service call
