The Sales Opportunity form in Q360 has many important fields that feed forecasting reports and / or impact other aspects of the Sales process.
Key Opportunity form fields:
- Interest – this field indicates the type of opportunity – select from the drop-down menu
- Entered Date – date Opportunity entered into system
- Close Date – date the customer plans to sign an agreement with us (narrowing this down as much as possible aids in forecasting, pipeline management and setting / evaluating targets)
- Install Finish – the date by which we expect or are contracted to complete the work
- Contact Name – a main contact (with the Customer) with whom information regarding this Opportunity will be exchanged
- Con. Email – email address for the above mentioned Contact (necessary in order to use the Email button next to the Contact Name
- Email button (envelope icon next to the Contact Name) – clicking this icon will open a Send Email form in a new window. Tracking, Sender, Recipient and Subject information will auto populate in this form. You may attach documents, files or links to this email as needed, and type the body of your email in the large field at the bottom of the form. When you have completed your email, click the Send button at the top right of the form. Note: the auto-filled Subject will include the Opportunity Number, the Customer name, the Opportunity Title, and a generated Tracking No. The Tracking No links this email with this Opportunity
- Tracking No. – This number may be copied and pasted into the Subject line of any email (even those initiated outside of Q360) to link it to this Opportunity
- Funnel – a list of steps / items (grid at bottom of Opportunity form) that may be checked off to progress the Sales Probability %
- Probability % – this field indicates the probability of the Opportunity closing and auto updates based on funnel step completion
- Update Reminder – this hyperlink opens a new window where you may create a reminder for yourself i.e. to update funnel steps or follow up with the customer. Upon Save, this reminder will be added to your Task List. For other Q360 Reminder options, see additional Help Center information
- Status – Opportunity status i.e. Approved, Prospecting
- Won / Lost Reason – a drop down list of reasons the Opportunity was either won or lost
- Won / Lost Date – date Opportunity was deemed won or lost (linked to above field)
- Gross Profit – anticipated Gross Profit of the Sale. This field continuously updates as the Opportunity progresses
- Source – where the Opportunity came from
- Value – anticipated Revenue of the Sale. This field continuously updates as the Opportunity progresses
- SIC – general market i.e. Education
- Sales Rep – the primary Sales Person
- RMR – anticipated Recurring Monthly Revenue
- Sale Type – drives General Ledger filtering capability
Additional useful form options:
Copy Window URL: this option may be found on the drop down list that appears when you click on the orb in the top left corner of the form. This option copies the window URL to your clipboard. You may then paste this URL into emails or other communications – clicking on the URL will take the link recipient directly to this Opportunity. Note that this option is available on all forms within Q360
