View an existing Global Comment
- View menu > Global Comments. The Global Comments form will open
- Use the Search fields to display existing Global Comments
- Existing Global Comments will appear in a grid and are filterable by Category, Subcat, Name, and / or Description. Note: the Public flag identifies Global Comments that are viewable by all Q360 users
Edit an existing Global Comment
- Follow steps 1 – 3 above
- Drill into an existing Global Comment
- Click the EDIT button
- Make desired changes
- Click the SAVE button
Create a new Global Comment
- View menu > Global Comments. A Global Comments form will open
- Click the ADD button
- Complete the Comment Name and Description fields and select a Category, Sub Category and Template Type (these will all be particularly important when printing quotes
- Type the content of your Global Comment into the content box and format as desired
- If you want this comment to be public, check the Public flag checkbox
- Click the SAVE button
Use Global Comments
- Copy a Global Comment to your clipboard and paste into certain fields (such as Notes or Comments) in other Q360 locations
- On a Quote, add Global Comments to Statements of Work (SOW) and / or Letters
- Use when printing Quotes or Proposals
Create a Statement of Work (SOW) using a Global Comment
- Open a Quote and navigate to the SOW tab
- Click the EDIT button
- From the File menu in the text box, select Insert Global Comment (Note: this same menu may be used to create and save a new Global Comment as well). The Insert Global Comment window will open
- Use the filters to narrow grid results, then highlight the Global Comment you wish to insert and click the Select button. The contents of the Global Comment will appear in the text box
- Click the SAVE button
Create a Letter using a Global Comment
- Open a Quote and navigate to the Letter tab
- Click the EDIT button
- From the File menu in the text box, select Insert Global Comment (Note: this same menu may be used to create and save a new Global Comment as well). The Insert Global Comment window will open
- Use the filters to narrow grid results, then highlight the Global Comment you wish to insert and click the Select button. The contents of the Global Comment will appear in the text box
- Click the SAVE button
Use Global Comment when Printing a Quote
- Navigate to a Quote
- Click the PRINT icon and select Print Quote
- Select Standard Proposal – Sections or Standard Quote – Sections. Note that in the Include the Following Sections box, there are several sections automatically populated including Executive Summary and Statement of Work. These two sections in particular pull information from the Letters and SOW tabs on the Quote, including any Global Comments inserted in these locations (see above).
- Overview, Terms and Conditions, Maintenance Agreement and Payment Terms are also driven by Global Comments. In order for these to function properly, the Sub Category must be defined on the attached Global Comment (see above). The required Sub Categories are CORPOVERVIEW, GENERALTERMS, MAINTAGREEMENT and PAYTERMS respectively
- Select a Print Destination and click the Print button
Set Up Global Comment Categories and Sub Categories (Admin)
- Navigate to Maintenance > General Codes
- Search for Global Comments using the Search fields
- From the grid that appears, select Global Comments Category or Global Comments Sub Category and drill into each
- Define Categories and Sub Categories and check the box for each in the Active column
- To add a new Category or Sub Category, click the ADD button and enter required information to match the selections available when printing a Quote or Proposal
Note: When printing Quotes and Proposals that include Global Comments, these comments will be printed exactly as formatted when saved. Any changes to formatting should be made by drilling into the Global Comment and adjusting the format there.
