Users responsible for approving time bills can also reject time bills. Using this option in Q360 triggers an email to the submitting user, indicating the specified reasons for the rejection.
Prerequisites:
An email template in Maintenance > Email Template Admin must be setup with the type REJECTTIMEBILL. For more information, see the topic Email templates.
Users requiring time reject authority must have the following:
- Access to the one or all of the following forms:
- Time Bill
- Timebill Approve Queue
- Timebill Post Q
- The HRADMIN view permission
- Assigned as the Reports To in the Employee for a user in order to see their time bills
Reject a time bill
To reject a time bill, complete the following steps:
- Open a time bill from of the forms mentioned in the previous section.
- Click the extended menu and select Reject Time Bill.
- In the textbox that displays, enter a description explaining why the email is rejected, then click OK.
After a time bill is rejected, note the following:
- The user that submitted the time bill for approval is sent an email containing the details in the email template, as well as the explanation provided.
- The Posted Flag field in the Time Bill form will remain blank, indicating that the time bill is not posted.
- In Time Bill grids for each form, a red dialogue icon displays for rejected rows. When focused on this icon, the rejection comment displays.
