This report is used to monitor the progress of the performance of the company toward achieving the forecast, and helps identify the gaps between the plan and actual performance of the plan. This allows the company to understand how to plan better in the future while also allowing for the adjustment of the plan mid-period to achieve the intended results.
Project Forecast Snapshot is used in conjunction with the One Dashboard to provide a point-in-time record of the One Dashboard forecast. The Project Forecast Snapshot captures the forecasted revenue (and associated scheduled labor hours and scheduled project materials), at the point in time the report is created, and then updates the report with the actual revenue (and consumed labor hours and shipped project materials) each time it is run in the future. It also captures the delta between the forecast and the actual.
This report can be scheduled to run on specific dates, or it can be run and stored on any specific desired date (for example, if the management meeting is based on a particular day of the week instead of a specific calendar day each month).
The Project Forecast Snapshot shows the forecasted periods by period (and period totals) with line item detail for each project forecasted to create revenue in the forecast period.
Create a menu item to take a Snapshot:
- Navigate to Maintenance > Background Job Administration
- Click the add (+) button to add a new job
- Name the job Forecast Snapshot or something similar
- Click the pencil next to Job SQL and select “One Dashboard: OneDashboardSnapShot – ProjectRevenueCostForecast_List”
- Set a monthly schedule or choose “Manually Run” – Recommended practice is to take the snap shot shortly after the month begins, and again closer to the end of the month
- If choosing Manually Run, define a Web Menu path – Recommended location is “Projects”
- Save and click Extended Menu > Install SQL Agent Job
This report will run automatically as a background job according to the defined schedule, and may be run at any time by clicking on the newly created menu item.
